What an entry holds

An entry brings together information about a person, family connection or estate, with the records and sources that support it.

Entries distinguish confirmed facts from findings that need further checks.

Our records are maintained with attention to evidence, privacy and retention.

Limited disclosure

Access and sharing are limited to the purposes set out in our privacy policy. Initial letters do not identify the individual whose estate is being researched.

Evidence recorded

Sources are recorded alongside findings so they can be checked. Uncertainty remains visible until it is resolved.

Defined retention periods

Estate records are kept while a matter is open and for twelve years after it closes. Separate limits apply to identity documents and general enquiries.

Checking a family connection

We compare records and supporting documents to assess whether a connection is likely.

A finding may be relevant to an individual or to the administration of an estate. Where it suggests a possible entitlement, further checks are needed before that position can be confirmed.

Where an entry appears relevant to an individual or an estate enquiry, we contact those concerned to check the connection.

Update the entry

Findings and correspondence stay with the record. Information is retained according to our privacy policy.

Privacy and security

How we protect information

We hold information about people who may be connected to an estate. We explain why further details are needed and how they will be used.

You can ask what we hold about you or request a correction.

Access to records

Access is restricted to those who need it for their work. Correspondence is kept with the relevant entry.

Sharing information

Information may be shared with those handling the estate, service providers acting on our instructions, or where required by law. We do not sell personal information.

Your rights

Our privacy policy explains your rights to access, correct or object to the use of your information. Email support@ancestryregister.co.uk with a request.

Every finding should be supported by evidence, with uncertainty clearly recorded.
